What we set up and run.

Six pieces on one setup. Managers and GCs see a sub who is easy to hire. You see work orders, renewals and statements handled on a schedule.

  • Vendor packet in one tap.Insurance certificate (COI), W-9, license, rates and your response promise, sent the moment a manager or GC asks. One link, always the current versions.
  • Work orders in, photo reports out.Managers send jobs one way: a form link, an email address or a text to your number. When a job is done they get a photo report, and each quarter a short summary of the work you did for them.
  • Renewals on time.Contracts and insurance certificates flagged 60, 30 and 7 days before they run out, with the request to your insurance agent drafted for you.
  • New permits, new GCs.Each week we pull new commercial permits in your area and email the listed GC a short intro with your capability sheet. Email only, from a separate domain. Anyone who unsubscribes is never emailed again.
  • Statements that get paid.Polite statement reminders to each GC's accounts-payable inbox on a schedule you pick, plus an aging report every Monday. Calls about late money stay with you.
  • Yearly tests rebooked.optionalBackflow, fire and septic due dates tracked from your records. Customers hear from you before the water district's notice lands.

A GC who just pulled a permit is about to hire subs.

Each week you get the new permits in your area that need your trade. Each GC on the list gets one short intro from you, then up to two follow-ups. Pick a trade and tap a row to read the email.

This week, Washington County: roofing work2 of 3 GCs get an email

  • Reroof, 3-story apartment buildingBeaverton, $410,000, GC: Northfork Builders, SAMPLE-1041Queued for Monday
  • New retail shell, 12,000 sq ftHillsboro, $2.1M, GC: Tallgrass Construction, SAMPLE-1058Follow-up 2 of 3
  • Office additionTigard, $780,000, GC: Brightwater GC, SAMPLE-1063Opted out, skipped

Your COI renews before a manager has to ask.

A lapsed insurance certificate can pause your work with an account. So every contract and certificate gets three reminders, and the new one goes out to everyone who has you on file.

Tap through the days.

60days until your liability certificate runs out

You get a heads-up and a drafted request.

We list every contract and certificate that ends in the next 60 days. The renewal request to your insurance agent is already written. You tap send, or tell us to send it.

Goes to: you

Managers send work one way and see it done.

Property managers juggle dozens of vendors. The ones who send a photo report without being asked are easy to keep calling. Move these work orders along to see what the manager gets.

Getting paid

GCs pay on a schedule you set.

Only 12% of contractors say they're always paid on time.

Source: Levelset construction payment report, 2022. The same report puts average construction payment at about 90 days.

Your invoice becomes the easy one to approve: paperwork attached, reminders on time.

  • Invoice dayStatement to the GC's accounts-payable inbox, with the signed work order and your W-9 attached.
  • Due dateA short reminder with the invoice number, amount and a pay link if you take cards.
  • 7 days lateSecond reminder, copied to the project manager you worked with.
  • 21 days lateIt moves to your call list. We don't send collection letters or legal notices.
  • MondaysAging report for you: current, 1 to 30, 31 to 60 and 61+ days.
Optional: yearly tests

Book the backflow test before the notice does.

Water districts mail the property owner, so the tester they call is whoever they find first. We remind your past customers before that happens, by email, or by text if they opted in.

  • FebruaryYour reminder goes out with open test times.
  • MarchThe district mails first notices.
  • MaySecond notices, if needed.
  • Late JulyThird and urgent notices.
  • Sept 1Residential test results due.

Schedule from Tualatin Valley Water District: tvwd.org, annual backflow testing. Other districts differ, so we set it up from yours. Fire and septic due dates come from your own records.

Your numbers in, example out.

Two ways commercial work adds up: a few steady accounts, and GCs who answer a permit email. Change any number.

Steady accounts

Property managers or HOAs that send you work every month.

The terms, same on every package

  • 3 months, then month to month. No auto-renew term. After the first three months, cancel by text and it runs to the end of the month you've paid for, then stops.
  • Setup fee half at signing, half at go-live.You pay the second half when the live test passes.
  • You leave with everything.Your number, contacts, consent records, reviews and domain go with you. We file the port-out the next business day and send your CSV within 5 days. No fee from us.
  • Live about a week after text approval.Phone carriers approve business texting first, and they set that timing. Once they do, we're usually live about a week later.
  • At least 5 GC or property-manager conversations started in your first 60 days live, or your next month is free.A conversation counts when a GC or manager replies to an intro or asks for your packet. Permit intros go out every week.
  • Price changes come with 60 days written notice. One flat number on one Stripe line. Usage is included up to the cap on your Service Order. If a price ever changes, you get 60 days in writing and you can leave on that date.
  • If you'd rather pay a year up front, it's 10 months' price.Your call, not a pitch. Ask for it and it goes on the Service Order.
  • Need it faster? Rush build is +50% on the setup.Same build, moved to the front of the line.
  • Starts at the from-price on the card.Your exact number comes from the free audit. You'll know the setup fee and the monthly before anything starts.

Fair questions.

Where do the permits come from?

Public permit records from your city or county, pulled once a week. Some places don't list the GC or their contact details. We check yours during the audit and tell you before you pay anything.

Is it OK to email GCs I've never worked with?

Business email about real work is allowed when it's honest, includes your business address and an unsubscribe link, and stops when someone asks. We set it up that way, send from a separate domain so your main inbox stays clean, and keep an opt-out list nobody can override.

Will you text managers or GCs?

Only people who text you first or ask for texts. Permit intros and statement reminders go by email.

Do you chase payments for me?

We send polite statement reminders to the GC's accounts-payable inbox and give you an aging report. We don't send collection letters or legal notices, and calls about late money stay with you.

I already use QuickBooks or Jobber. Does this replace it?

No. We ask what you quote and invoice in during the audit. If a piece needs a connection to your software that we haven't set up, we say so before you sign, and nothing gets promised that depends on it.

What do I keep if I leave?

Your contacts file and your number ported to you. It's written into the agreement.
