Book the callsyour officelet slip.
After each office call ends, we read the transcript and flag the ones that could have booked and didn't. Your office gets a callback list that same day, and you get a short scorecard every Friday.
Price: Quote. Included in Revenue Engine and Full Bays, and available as an add-on to the other packages. Every caller hears a short recorded notice, and we set that up with you before it's turned on.
- Nothing yet. Step through the call, then add it.
The phone rang, someone answered, and the job still went somewhere else.
Whoever answers says "uhh, let me get Steve."Each graded call shows the exact line where it slipped and what would have booked it.
The office lets bookable calls go.Those calls land on a callback list the same day, while the caller still needs you.
I hear about it a week later, after they hired someone else. You hear about it that afternoon instead.
I don't have time to listen to 300 calls a month. You read one page on Friday. Open a call only if you want the details.
The new guy told a caller we're booked out. Thursday was wide open. The grade checks whether a time was offered, so it shows up on the scorecard.
Paraphrased from owner forums and common complaints. None of these are our clients.
From the first ring to a callback that books.
Your office keeps answering the way it does now. Everything here happens after the call ends, and a person in your office makes every callback.
Every caller hears a short notice first.
Before anyone picks up, a recorded line plays. We write it with you and you approve it. This only runs on your office line, the one your staff answer, and it goes live after we confirm the setup together.
"Thanks for calling. This call may be recorded and transcribed."
Your office answers like always.
Nothing changes for the person on the phone. No script on screen, no one listening in. They take the call and get on with the day.
The call is graded against your booking rules.
Shortly after the call ends, the transcript gets checked against a short list we set with you. Was it a job you do? Did they get a name and number? Was a time offered? Did the call end with a next step? Calls that could have booked and didn't get flagged, along with the lines where it slipped.
The office gets a callback list the same day.
Flagged calls go to the office by text and email: who called, what they wanted, when they need it and a suggested first line for the callback. Your office makes the call. Nothing here dials a customer.
One page on Friday.
Calls answered, calls that could have booked, how many were booked on the call, how many booked on the callback, and the same checklist for each person who answers. You can open any call from the page and read the lines that were flagged.
Two calls a week to talk over.
The scorecard picks one call that went well and one that slipped. Go over both with whoever answered. When the same slip keeps showing up, we write a short line for it with you, like what to say when someone asks for a price on the phone.
Pick what the office says. See how it grades.
Three sample callers. Choose an answer and the right side shows what the grader would mark, and whether the call lands on the callback list.
How much for a new furnace?
Who it's for.
Shops where someone other than the owner answers the phone, and enough calls come in that nobody can listen to all of them.
A good fit if
- You're a trade with someone in the office answering, or about 250 or more calls a month.
- You're an auto shop with 3 or more bays and about 200 or more repair orders a month.
- You've hired a new person for the phones, or you're about to.
- You have a feeling calls are slipping, and no way to tell which ones.
Probably not yet if
- You answer every call yourself from the truck. Your cell isn't the office line.
- You get a few calls a day. You can listen to those yourself.
- Nobody has time to make callbacks. The list only helps if someone calls.
Who it's built for.
- Your office calls on a line we set up. Your number stays yours. We forward it or move it, whichever fits your phone setup.
- The recorded notice. Every caller hears it. We confirm the wording and setup with you before it goes live.
- Your booking rules. What jobs you take, your service area, and what a booked call looks like.
- Someone to make callbacks. Usually the person who answered. Same day if they can.
- The base underneath. It comes with Revenue Engine and Full Bays, or goes on top of another package.
- About an hour with us. One setup call, then five minutes a week on the Friday page.
What a few saved calls a month could be worth.
Put in your office calls, how many you think slip, how many of those book on a callback, your average job and your margin. The math runs in gross profit, the part you keep after parts and labor.
A call only counts as saved if it was flagged, your office called back from the list, and the caller booked after that callback. Some of those callers might have come back on their own, so read the result as the high end.
What it won't do.
Better you hear it now than on month two.
- Callers hear a recorded notice.Every caller hears a short notice that the call may be recorded. Washington and California need everyone's consent. We set it up with you before it's turned on. The recordings and scores belong to you.
- It only grades your office line.Calls to your cell, calls that go to a text-back or after-hours answering, and calls on any other number aren't part of it.
- It won't call anyone back. The list goes to your office. A person makes every callback. There are no automated calls to your customers.
- Transcripts get words wrong.Road noise, bad signal and fast talkers trip it up. Every flag shows the line it came from so you can check it before you act on it.
- It can't read minds. If a caller hangs up without saying why, the grade can say a time wasn't offered. It can't say whether they'd have taken one.
- It isn't for catching people out.The scorecard is for coaching. If it gets used to punish the person on the phones, they'll stop picking up the hard calls.
- It doesn't listen live.Grading happens after the call ends. Nobody coaches your office in the middle of a call.
Where it fits, and what pairs well.
- Revenue EngineIncludedThe top trades package: everything in Quote Closer Desk, plus members who pay monthly, weather alerts, a comeback wave to past customers and one text at 7am. The call grader is part of it.
- Full BaysIncludedThe top auto shop package: slow days filled from customers who are due, a monthly club, fleet accounts and one text at 7am. The grader covers the calls your service writers answer.
- Quote Closer DeskPairs wellOnce a call books a visit and a quote goes out, this chases the quote until you get a yes or a no.
- Phones Off the CounterPairs wellFor auto shops: calls the counter can't pick up get a text with a booking link, and customers get status texts so fewer call to ask. The grader covers the calls your writers did take.
- Hires who show upPairs wellHiring for the phones? Applicants get answered fast and reminded to show. The Friday page then shows how the new hire is doing.
The terms, in plain words.
- 3 months, then month to month. No auto-renew term. After the first three months, cancel by text and it runs to the end of the month you've paid for, then stops.
- You own your contacts and your number. If you leave: a contacts file, and your number ported to you, all written into the agreement.
- Live about a week after text approval.Phone carriers approve business texting first, and they set that timing. Once they do, we're usually live about a week later.
- Starts at the from-price on the card.Your exact number comes from the free audit. You'll know the setup fee and the monthly before anything starts.
Fair questions.
Can I buy it today?
Yes. It's included in Revenue Engine and Full Bays, and you can add it to the other packages. Price is a quote. We set up the recorded notice with you first, then turn it on. The free open-quote audit is a good place to start.
Do callers know the call is recorded?
Yes. Every caller hears a short notice before anyone picks up, saying the call may be recorded and transcribed. We set the wording with you and confirm the setup before it goes live.
Does an AI call my customers back?
No. The callback list goes to your office and a person makes the call. Nothing here dials a customer.
Is this the same as the AI that answers after hours?
No. This grades calls your own staff answer on the office line. It doesn't answer anything.
Who decides what counts as bookable?
You do. At setup we write down the jobs you take, your area and what a good call sounds like. The grading follows that list, and we adjust it in the first few weeks when it flags the wrong calls.
Will my office feel watched?
Tell them up front, and use the Friday page for coaching. It picks a good call every week as well as one that slipped. It isn't a live listen and nobody gets a buzz mid-call.
What does it cost?
It's quoted because I put together the best setup for each business, based on its size and what it actually needs. I price it from your numbers after the free audit. It's included in Revenue Engine and Full Bays, and added to other packages as an add-on.
Call back the ones that slipped.
Text Chase roughly how many calls your office takes a month. We'll tell you when the grader is ready, and run the free open-quote audit with you now.
